How to delegate to a Virtual Assistant

Knowing how to delegate to a virtual assistant (VA) effectively is what really helps to save time and effort; it is what allows you to add more value to your business. In fact, as they say, one of the secrets to reaching business success is to learn how to delegate. However, delegating to a virtual assistant can sometimes turn out to be more complicated than the hiring of a virtual assistant.

Business owners hire virtual assistants because they know what kind of activities a virtual assistant can do for them and they understand the advantages of working with them. However, sometimes they end up not being able to achieve the desired results because they have difficulties in delegating.

What to delegate?

To know what to delegate you must:

  • First, analyse your business goals and reflect on why you decided to hire a virtual assistant.
  • Then create a To-Do List by category. That is, a list of tasks that you do not like to do on one side, with tasks that you waste too much time (either because they are time-consuming tasks, or because they are not your speciality) and within these tasks define which ones you would like to delegate.

How to delegate?

To take advantage of having a virtual assistant you must know how to delegate.

With clear goals and the list of tasks you would like to delegate, start by determining:

  1. The services/tasks (be as specific as possible) that really need to be done at this time;
  2. Times/ hours do you want your virtual assistant to work for you/on your project;
  3. The time limit you want the work to be delivered to you;
  4. The material/resources, which will be made available to the virtual assistant to successfully carry out these tasks;
  5. The milestone that confirms that you have reached your goals;
  6. Your involvement. Would you intervene during the process or would receive the task ready completed?
  7. How long you think it would take to work with this virtual assistant until you reach your goals (If you don’t know how many hours it will take to reach your goals, certainly a virtual assistant can help you with that).

Working with a virtual assistant is most likely to only bring benefits if there is a partnership, that is, a collaborative relationship working towards achieving mutual goals.

Note: When I work with clients I usually send my own list of questions to my potential clients before any contractual relationship. That way, I better understand what my client really wants and if they really need the services I can offer (whether in terms of the service itself, the time, and my ability to meet their expectations).
